Privacy Policy

Last updated: August 31, 2026

This policy explains what information InTopic.ai collects and how we use it. It's written in plain language on purpose — if anything is unclear, call us and we'll walk you through it.

1. Who we are

InTopic.ai ("InTopic.ai", "we", "us", or "our") provides Google Business Profile management services, including profile optimization, review monitoring and responses, photo management, and related reporting (the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

This policy applies to our marketing website, client portal, and any related communications. By using the Service, you agree to the collection and use of information as described here.

2. Information we collect

Account and contact information you give us directly, such as your name, business name, phone number, and email address when you request a call, sign up, or contact support.

Business listing information connected to the Google Business Profile you authorize us to manage, including your listing content, categories, hours, photos, and customer reviews.

Billing information processed by our third-party payment provider. We do not store full payment card numbers on our own systems.

Usage information such as pages visited, device and browser type, and general analytics collected automatically when you use our website or client portal.

Communications you send us, including call notes, emails, and support messages, which we may keep for quality and training purposes.

3. How we use your information

To provide, maintain, and improve the Service, including managing your Google Business Profile, responding to reviews, and posting photos on your behalf.

To communicate with you about your account, scheduled calls, service updates, and billing.

To protect the security and integrity of our systems and to detect and prevent fraud or misuse.

To comply with legal obligations and enforce our agreements.

We do not sell your personal information to third parties.

4. Google Business Profile access

When you engage InTopic.ai, you grant us manager-level access to your Google Business Profile through Google's own permission system. Manager access does not allow us to see or change your Google account password, and it does not allow us to remove you as the owner or delete your listing.

You may revoke our access at any time directly through your Google Business Profile settings, without needing to contact us first, though we recommend a quick call so we can also close out our internal records.

5. Sharing of information

We share information with service providers who help us operate the Service, such as payment processors, hosting providers, and communications tools, under contractual obligations to protect your data.

We may disclose information if required by law, subpoena, or other legal process, or when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

If InTopic.ai is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy.

6. Data retention

We retain your information for as long as your account is active or as needed to provide the Service, and for a reasonable period afterward to comply with legal, accounting, or reporting obligations, resolve disputes, and enforce our agreements.

7. Your choices and rights

You may request access to, correction of, or deletion of the personal information we hold about you by calling us at 1 (833) 468-6742.

You may opt out of non-essential marketing communications at any time using the unsubscribe link in our emails or by calling us.

Depending on where you live, you may have additional rights under applicable privacy law. We will respond to verified requests consistent with those laws.

8. Data security

We use reasonable administrative, technical, and physical safeguards designed to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Children's privacy

The Service is intended for business owners and is not directed at individuals under 18. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "last updated" date below and, where appropriate, notify you directly.

11. Contact us

Questions about this Privacy Policy or your information can be directed to us by phone at 1 (833) 468-6742.
